    POSITION SUMMARYThe Finance Manager is responsible for overseeing all financial operations of the Academy, with a primary focus on member collections, scholarship administration, player account management, and team fund accounting. skills for working with regional directors and families, and the ability to implement efficient processes that support the Academy's mission of youth soccer development. Work hours will align with Academy operations, be coordinated with leadership, and adjusted as necessary. Competitive Salary range is dependent upon Applicants experience level. ResponsibilitiesCollections ManagementLead all accounts receivable collection efforts beginning July 1st when competitive registration payment plans commenceProactively engage with Regional Directors immediately upon payment plan initiation to reduce overdue accountsEstablish and maintain systematic follow-up processes with families on delinquent accountsMonitor Days Sales Outstanding (DSO) and implement strategies to reduce collection cycle timesGenerate weekly accounts receivable aging reports and communicate status to leadershipDevelop escalation procedures for chronic non-payment situationsScholarship & Financial Aid AdministrationAssess and calculate financial aid awards using the Academy's predetermined formula and annual budget allocationMaintain accurate records of all scholarship recipients and award amountsAdjust payment plans as needed prior to competitive tryouts each seasonMonitor scholarship budget utilization and provide regular reporting to leadershipEnsure compliance with nonprofit financial aid documentation requirementsPlayer Account ManagementProcess player transfers between teams and programs, adjusting fees accordinglyCalculate fee adjustments (increases or decreases) based on program changesMaintain accurate player financial records across all Academy programsCoordinate with registration staff to ensure seamless financial transitionsTeam Account OversightOversee team account collections and fund disbursementsTransfer funds from Team Accounts to Club Account following club purchases (showcase entry fees, equipment, etc. requirementsCoordinate with coaching directors on contractor payments and 1099 reportingReconcile payroll accounts monthly and resolve any discrepancies promptlyPrepare and distribute annual W-2s and 1099s within required deadlinesMetrics & Performance MeasurementEstablish and maintain key financial metrics on multi-month trend lines to identify performance issues earlyTrack Days Sales Outstanding (DSO), Days Payables Outstanding (DPO), and Cash Conversion CycleMonitor liquidity ratios including Current Ratio and Quick RatioCalculate and report gross and operating margins, breakeven points, and margin of safetyDevelop performance measurements linked to organizational strategy and goalsPresent monthly dashboard of KPIs to leadership with variance analysis and recommendationsControls & Risk ManagementConstruct and maintain reliable internal control systems across all financial processesIdentify, assess, and mitigate organizational financial risks; determine materiality and likelihood of occurrenceMaintain and enforce financial policies and proceduresReview control weaknesses identified by auditors and implement corrective actionsMaintain proper document retention systems for audit complianceMonitor key risk areas including key personnel succession, vendor/partner dependencies, and regulatory complianceBudgeting & Strategic PlanningLead the annual budgeting process in coordination with leadership and regional directorsEvaluate budget alignment with organizational strategy and missionReview capital expenditure requests and provide financial analysis for approval decisionsConduct cost reviews with staff and department managers; develop short and long-term cost reduction plansIdentify opportunities for operational efficiencies and process improvementsEvaluate outsourcing possibilities for non-core functions to optimize resourcesMaintain banking relationships and coordinate financing needs as requiredRequired QualificationsBachelor's degree in Accounting, Finance, Business Administration, or related fieldMinimum 3-5 years of financial management experience, preferably in a nonprofit organizationDemonstrated experience with nonprofit fund accounting and restricted fund managementStrong collections and accounts receivable management experienceProficiency in accounting software (QuickBooks, Sage, or similar) and Microsoft ExcelExcellent communication skills with ability to work effectively with diverse stakeholders (families, directors, staff)Strong organizational skills and attention to detailPreferred QualificationsExperience in youth sports organization financial managementFamiliarity with membership management platforms (e.) Experience operating within a Youth Soccer or Youth Sports organization structure.
