Summary:This position coordinates the administrative support function for the Vice President/Director of Athletics office and other Executive Staff members as requested. Requires working with confidential information independently and in a variety of administrative functions while implementing and maintaining administrative policies and procedures.
Responsibilities include, but are not limited to:Provides daily calendar/schedule support for the Vice President/Director of Athletics, as well as Executive Staff members as needed. Prepares/distributes meeting documents as appropriate.
Coordinates business travel needs for the Vice President/Director of Athletics, to include transportation, lodging, registrations, etc. in connection with the Athletics Business Office.
Serves as a primary liaison between the Director of Athletics and key internal / external stakeholders, including university administration, conference leadership, trustees, donors, and community partners.
Prepares expense and travel reimbursements within guidelines of the Athletics Business Office.
Manage the operational rhythm of the Director of Athletics Office, including executive scheduling, departmental planning, staff coordination, and prioritization of high impact initiatives.
Develops and manages master calendar of UCF meetings/non-athletic events affecting the Director of Athletics and/or Executive Staff.
Compiles data/information and creates reports for various constituencies (University, NCAA, Conference, etc.)Collects data and other information regarding the Board of Directors, Board of Trustees, and UCFAA Board of Directors. Serves as a secondary liaison with the President’s office regarding the stated groups, and assists in the organization of meetings, which may include facility scheduling / preparing of meeting documents and taking meeting minutes as needed.
Acts as Corporate Secretary to the UCF Athletics Association, Inc. Board of Directors, overseeing all governance processes, preparing public-facing board materials, and ensuring compliance with UCF Board of Trustees and UCFAA policies and procedures.
Responsible for telephone, mail, e-mail correspondence on behalf of the Vice President/Director of Athletics. Serves as primary point of contact for the executive offices within Athletics, and prepares appropriate correspondence as needed.
Oversees game day operations for the Director of Athletics’ Suite at football and basketball events, providing an exceptional experience for donors, university officials, and visiting athletic directors while fostering relationship development.
Assists in the cultivation and stewardship of donors and corporate partners.
Assists executive office with major capital and special projects as assigned.
Responsible for records management for the executive offices within UCF Athletics, University, NCAA, and State guidelines.
Other duties as assigned.
Minimum Qualifications: Master's degree and four (4) years of appropriate experience; or a bachelor's degree and six (6) years of appropriate experience.
Qualifications: Master's Degree.
Full-time senior level experience within intercollegiate athletics or higher.
Ability to function in fast-paced environment, handle multiple projects and adhere to deadlines.
Strong research, organizational, computer and presentation skills is also preferred.
Due to the nature/scope of Athletics and Athletics events, position may require work during evenings, weekends, and holidays, as well as the ability to stand / walk for extended periods of time and occasional travel.
